Back of House Works
Situation
Level Contracts (LC) worked on the Back of the House Works in London from the 19th of December 2022 to the 20th of January 2023. The value of this contract was an estimated £150,000.00 and ran for just over one month.
Bristow Consulting Ltd undertook the client advisor role on behalf of The Roundhouse Trust. The contract for this project was directly between us and Bristow.
An upgrade was deemed necessary to various back-of-the-house rooms within a short timescale. No events/ concerts were scheduled during the contract, making it crucial that all work would be complete by the 20th of January 2023.
Task
The deliverables involved the following:
- Fabric, Mechanical, electrical, and plumbing works to the back of house areas.
- Refurbishment of WCs, Tech Offices, Bar Areas, Offices, Housekeeping Stores and Reception Areas
- Wall and floor tile installation
- Decoration
- HVAC
- Doc-m pack installation
- Worktop installations
- Small power and lighting installation
- Adjustments and extensions to existing plumbing to suit new layouts
- Installation of ceiling hatch installs and vinyl flooring
We faced challenges working alongside the FM team and client-nominated subcontractors during delivery. A change of client scope whilst onsite led to several change requests with works to be done within the agreed timeline. Additionally, we worked on a phased programme with certain rooms having to be completed by specific dates due to staff moves
Furthermore, we were tasked with providing a weekly report to keep all parties updated with progress onsite.
Actions/ Activities
Effective communication between our site manager, project manager, and other involved parties facilitated seamless access for contractors to the necessary areas, minimising potential delays or health and safety concerns.
By assigning extra workers to the project to carry out additional tasks, we successfully met the client’s requirements and completed the program as planned.
Our site manager and the client’s end user had in-depth discussions regarding the phasing of the program. The objective was to ensure that staff could access the necessary areas promptly and as required.
Step-by-step Procedure for Delivery:
- Completion of relevant FM Team permits to undertake works, including hot works and roof access permits.
- Daily briefing, including completion of the document, between site manager, operatives, end user staff and nominated subcontractors.
- Sign-off documents completed for each area as and when handed back to staff so snags could be identified and resolved before completion.
- Project handover and completion document undertook, and O&M Manual issued upon completion of works.
Results
The project was delivered on time and to budget whilst also exceeding the client’s expectations. Delivery was received with positive feedback from the End User, Client, FM Team, and H&S Advisors.
